How can a property manager use AI without exposing tenant data?
Start with work that is not a decision: sorting tenant requests, answering leasing inquiries, writing the cover note on owner reports and searching leases. Run it on a server you control, keep application files off the machine the AI agents use, and send anything that commits you, such as a lease term, a fee or a notice, to a person. That limits what the AI can reach; it does not remove every risk. The entry step, AI agent setup and training, is $1,999 fixed: we install AI agents on a server you control and train your staff. Each job above is built on top: one workflow is $2,500 to $6,000, and lease search with cited answers is $6,000 to $15,000. If a system uses an outside AI model, we tell you which one and what data it sees.

Which property management jobs can AI take on?
Four jobs where staff spend hours on reading, sorting and writing.
Tenant requests
Reads each maintenance or tenant message that arrives by email or web form, tags the type and urgency, drafts the reply and prepares the work order, sent through your software’s interface where it has one and handed to your staff as a ready draft where it does not. Anything you define as urgent, such as a leak, no heat or a lockout, is flagged for your on-call person. After-hours calls can be answered and logged by AI for calls and chat.
After-hours calls answered and loggedLeasing inquiries
Answers the questions every listing gets: availability, rent, pet and parking rules, application steps. Questions about assistance animals, accessibility or who will live in the unit go to your leasing agent. It is instructed to answer from your own policy sheet and to hand other questions to your leasing agent. It books showings on your calendar and hands the thread to the leasing agent with the details collected.
Showings booked on your calendarOwner reports
Your software already produces the owner statement. The AI writes the cover note: what changed, which work orders closed, which units are vacant and for how long. The AI drafts the note from the report’s numbers, and a person checks each figure before it goes to the owner.
Report notes drafted for approvalSearch across leases and documents
Ask which leases renew in March, or what an addendum says about pets, and get an answer with the page cited. It reads leases, addenda, inspection reports and vendor contracts, and staff check the cited page.
Private AI over your filesEvery job above prepares work for a person. Approving an applicant, setting a fee and sending a notice stay with your staff.
Where does tenant data go when AI reads it?
A rental file holds names, phone numbers and bank details, and an application adds Social Security and ID numbers. California Civil Code §1798.81.5(b) says a business that owns, licenses or maintains personal information about a California resident “shall implement and maintain reasonable security procedures and practices appropriate to the nature of the information.” When that business discloses the information under a contract to a nonaffiliated third party that is not itself subject to subdivision (b), subdivision (c) requires the contract to make that party keep the same reasonable security. An outside company that receives your files to run an AI tool may be such a party. Your attorney decides how the statute applies to your business. (California Civil Code §1798.81.5, checked 2026-11-07.)
Files on a server you control
Leases, requests and owner documents can live on your own server, behind two-step sign-in.
What the AI can reach
In a workflow we build, each job is connected only to the data it needs: the request sorter never gets application files. AI agents in the workspace can reach everything on their machine and every service connected to it, so files they should not read stay off both. We start with leases and request messages, and treat applications with Social Security and ID numbers as a separate decision.
Outside models, named
If a system uses an outside AI model, we tell you which one and what data it sees, before launch. You decide whether tenant data goes to it.
Which property management software can it connect to?
We connect to the interface your software offers and tell you in the free audit which one that is. Buildium publishes an open API for accounts on its Premium plan (Buildium Open API). AppFolio describes its API as open to its network of software partners (AppFolio partner program), so for an AppFolio account we start from the reports and exports your account already produces. Yardi and Rent Manager differ by product and edition, and we check yours before we quote. Where no interface exists, a clean export is the fallback. Your property software stays your system of record. Links checked 2026-11-07.
In Sacramento, Placer, El Dorado and Yolo counties the Census Bureau counts 708 property management establishments with paid employees, 575 residential and 133 nonresidential, and 1,368 real estate agent and broker offices. Owners who manage their own units, and agents with no employees, are not in that count. Who can set up AI workflow automation and private AI for a property management company or real estate brokerage in Sacramento?
IG Digital Lab, a Sacramento company. We build AI workflow automation, from $2,500 to $6,000 for one process and $6,000 to $15,000 for connected systems, with full builds from $15,000, and we install private AI over your files on a server you control. We work on site across the Sacramento area and remotely across the US. For a brokerage the same pieces apply to listing inquiries, showing requests and transaction files.
What we do not do
- We do not build tenant screening, credit scoring or approval decisions. Who gets a unit stays with your staff.
- We do not give legal advice. Fair housing, notices and eviction questions go to your attorney.
- We do not replace AppFolio, Buildium, Yardi or Rent Manager. Your property software stays the system of record.
- We do not run cable or mount hardware. We set up the equipment you own; physical installation goes to a licensed contractor.
Common questions
Answers to what property managers ask before signing on.
Can AI answer tenant requests without a person?
It can sort requests, answer routine questions from your own policy sheet and draft replies. Anything that commits you or touches safety goes to a person. Anything you define as urgent is passed to your on-call person, and the AI does not decide who gets a unit. Keep your emergency number published as the primary route; the AI is a second path, not the only one.
Will it work with AppFolio, Buildium, Yardi or Rent Manager?
It can connect to the interface each product offers. Buildium opens its API to Premium accounts, AppFolio opens its API to partner software vendors, and Yardi and Rent Manager differ by product and edition. We check yours in the free audit and tell you before you pay whether you get an integration or a clean export.
Does tenant data get sent to an outside AI company?
The documents and the AI workspace can live on your own server. If a system uses an outside AI model, we tell you which one and what data it sees, before launch, and you decide whether tenant data goes to it.
Which tenant data should stay away from AI at first?
Applications with Social Security numbers, ID images, bank details and payment data. Start with leases, maintenance requests and listing information, which hold less sensitive data, and decide about applications as a separate step.
How much does it cost to start?
AI agent setup and training is $1,999 fixed for the agreed scope; hardware or hosting, AI plans and API usage are separate. One workflow built into your systems is $2,500 to $6,000, and connected systems are $6,000 to $15,000. The audit is free.
How long does it take?
One process takes 2 to 4 weeks and connected systems take 4 to 8 weeks, counted from the day you give us access. The first working version is ready two weeks after access.
