AI agents for procurement
AI agents for procurement that compare quotes, draft orders and match invoices
Buying for a small company means vendor PDFs in a dozen layouts, a spreadsheet of suppliers and an invoice that does not match what arrived on the dock. Procurement agents build the quote comparison, draft the purchase order, run the three-way match and keep vendor paperwork current. They never send a purchase order, accept a quote or change vendor bank details on their own.

Six buying tasks an agent can prepare for the buyer
Quote comparison
Reads quotes that arrive as vendor PDFs and builds one side-by-side table of totals, delivery times and payment terms, with a line for what each quote leaves out.
Purchase request to draft order
Takes an approved request and drafts the purchase order from it: vendor, items, the prices on the chosen quote and the cost code. The buyer reviews it and sends it.
Three-way match
Lines up the purchase order, the receiving record and the invoice. A full match goes to accounts payable as ready for approval, and a mismatch comes back as an exception with its reason, such as 40 received and 48 invoiced. Invoice intake itself is on the finance page.
Vendor onboarding
Collects the W-9 and the certificate of insurance from a new vendor, notes any field left empty and drafts the reminder before a certificate expires, for a person to send.
Contract renewal alerts
Reads end dates, renewal terms and notice periods from your vendor contracts and proposes the notice date with the clause it came from, for the contract owner to confirm.
Spend summary
Totals spend by vendor and by category each month from your accounting data and lists the vendors where spend moved the most.
Vendor documents and requests in, comparison tables and exceptions out
Reads
The agent
Procurement agent
- Reads each document and pulls the fields
- Ties it to the request, the order or the contract
- Lists every difference with its reason
- Stops at any send, acceptance or bank change
Hands over
The agent reads purchasing, receiving and accounting records and drafts documents in a review folder. Sending an order, accepting a quote and any bank detail stay behind an approval.
When to build procurement agents and when to switch on a setting
Build it when
- You compare three or more quotes several times a month and build the table by hand
- Invoices regularly arrive that disagree with what was ordered or received
- Insurance certificates or contract renewals are tracked on someone's calendar and sometimes lapse
- Orders live in software with an API, or at least in one consistent spreadsheet
Use something simpler when
- You issue fewer than about 20 purchase orders a month through one approver: a template and a spreadsheet cost nothing
- An ERP or purchasing module you already pay for does three-way matching, and the cheapest step is turning it on
- Nobody records what was received, because a match needs a receiving record on one side
Priced by the task and the records it needs
One workflow running end to end, or one internal tool.
Several systems made to work as one: integrations, roles, reports.
Quote comparison, or the three-way match against your purchasing and accounting records, usually lands in one process. A full set that covers requests, orders, vendor paperwork and renewals across several systems is connected systems. At small-business volume the model fees are modest and go to your own provider account.
Care $300 to $500 a month. Active $750 to $1,500 a month. AI model usage, GPU time and hardware are paid to the provider, on accounts in your name.
Questions buyers and controllers ask
Can the agent send an order or accept a quote?
No. It drafts the purchase order and the comparison, and a buyer sends the one and accepts the other. The agent's access is limited to drafts, and we check what each system's connection can do before launch, so sending stays a person's click.
What does it do with a request to change a vendor's bank details?
It stops and hands the request to a person. Redirecting a payment through a fake bank-change email is a common fraud, so the agent never applies one and never trusts the sender's own phone number. The person calls the number already on file before anything changes.
What counts as a match?
You set the rule. Typically quantities must agree between the order, the receiving record and the invoice, and prices must agree within a tolerance you choose, such as a few dollars or a percentage for freight. Everything outside the rule becomes an exception that names the line and the difference.
Does this read invoices too?
Reading invoices into draft bills is on the finance page. The three-way match starts after that: it takes the invoice record and checks it against the order and the receiving record, so the two agents can share the same invoice inbox.
Who can see the W-9 forms we collect?
The forms go into a restricted folder in your own document system, and the agent records that a form is on file. If a model checks that the fields are filled in, the tax number is masked before it reads the form, and we tell you which model that is.
