AI agents for finance

AI agents for finance: invoices keyed, payments matched, a person signs off

Finance work is full of moving numbers from one place to another: a PDF invoice into the accounting system, a bank line onto the right bill, a receipt onto the right card charge. Agents do that part and leave the approvals, the payments and the judgment calls with your team.

  • Prices published on the site
  • First working version in two weeks
  • Support month to month, cancel any time

Six jobs an agent can take off the books team

Invoice intake

Reads invoices that arrive by email, pulls vendor, date, amounts and line items, suggests the expense account and prepares the bill for approval.

Bank and card matching

Matches bank and card transactions to bills, receipts and deposits, and lists the ones it cannot match, with a suggested match for a person to check.

Receipt chasing

Finds card charges with no receipt, asks the cardholder by email once a week and attaches the receipt when it comes back.

Vendor statement checks

Compares a vendor's statement with your open bills and lists what is missing, paid twice or billed at a different amount.

Month-end checklist

Works through the close checklist, gathers the reports each step needs and tells the controller what is still open.

Overdue invoice report

Lists unpaid customer invoices by age every Monday for your finance team, with the last payment and the last note on each account.

From the invoice inbox to a draft bill waiting for approval

Comes in

The invoice inbox PDFs and scans from vendors
Bank and card feeds Transactions from the bank export or API
Receipts Photos and email forwards from staff

The agent

Finance agent

  1. Reads the document and pulls the fields
  2. Checks the vendor and purchase order
  3. Suggests the account and flags duplicates
  4. Creates the draft with its reasons

Lands in

Your accounting system Draft bills and matched transactions
The approver A review list with the reason for each entry
The close checklist What is done and what is still open

The agent prepares entries for review, and a person approves before anything is posted. Its connection to the accounting system is limited to what the task needs, and it has no access to payments.

When a finance agent pays off, and when it does not

Worth building when

  • More than about 50 invoices a month arrive by email in different layouts
  • Reconciliation takes someone more than a day at month-end
  • Your accounting system has an API, as QuickBooks Online and Xero do
  • Receipts for card charges are chased by hand every month

Use what you have when

  • You get a handful of invoices a month: the bill capture built into QuickBooks Online or Xero is enough
  • Most vendors already send bills straight into your accounting system
  • The problem is an unclear approval policy, which software will not fix

Priced by the task, whatever the invoice volume

One process: $2,500 to $6,000, 2 to 4 weeks

One workflow running end to end, or one internal tool.

Connected systems: $6,000 to $15,000, 4 to 8 weeks

Several systems made to work as one: integrations, roles, reports.

Invoice intake into draft bills, with the approval list and log, usually lands in one process. Matching across bank feeds, card feeds and a document store, or agents for several close tasks, is connected systems. The cost of the AI model is billed to your own account, and we estimate it from your volume in the written review.

Care $300 to $500 a month. Active $750 to $1,500 a month. AI model usage, GPU time and hardware are paid to the provider, on accounts in your name.

Questions finance teams ask

Can the agent pay bills or move money?

No. The agent creates drafts and matches. Approving a bill, releasing a payment and changing bank details stay with the people who do it now, and the agent's user in your accounting system does not have those permissions.

Which accounting systems does it work with?

Systems with an API for bills, such as QuickBooks Online and Xero. What each API allows differs: Xero keeps draft bills, and QuickBooks Online does not, so there the review list lives outside it until a person approves. Bank lines come from the bank feed where the system exposes it, or from an exported statement file. Desktop software without an API needs a different route, such as an import file the agent prepares, and we say which route fits during the audit.

How do we know an extracted amount is right?

The agent checks totals against line items and against the purchase order where there is one, and marks any field it is unsure about. Those drafts go to a person first. In shadow mode, before launch, we compare its drafts with what your team entered for the same invoices.

Does this replace our bookkeeper or CPA?

No. It takes the data entry off their desk so their hours go to review and judgment. It does not give tax or accounting advice, and your accountant keeps the final word on how an entry is booked.

Who sees our financial data?

The accounts are opened in your company's name. If the agent calls an outside AI model to read invoices, we tell you which one and what it sees, and we use the provider's paid API terms, under which your data is not used for training by default; we confirm the terms of the exact service before any invoice is sent.
